External roles within the CAG database involve tagging externals with specific types such as stakeholders, volunteers, partners, and more. This tagging system categorises externals based on their roles and relationships with the organisation, providing clarity to database users about the type of interaction and engagement each external represents.

External roles define the specific categorisation of individuals based on their associations to an organisation or group. These roles can encompass stakeholders, volunteers, partners, and various other categories depending on the organisation's needs. Understanding external roles not only enhances operational efficiency but also strengthens relationships, fosters collaboration, and ensures that resources are optimally allocated to meet organisational goals and objectives.

How to Create a External Role

Creating a external role within the platform allows administrators to define and manage different roles for individuals. Follow the steps below to create a new external role:

  1. Navigate to the System settings page.
  2. Choose External Roles from the cards.
  3. Press the Add role button, which will open the Add External Role pop-up.
  4. Fill in the External Role Information:
    • Name: Enter the name assigned to this external role (mandatory).
    • Description: Provide a brief description of the external role.
  5. Press the Save button.
  6. A new external role has been created and is now visible in the External Roles Table.

How to Delete a External Role

Deleting a external role is a straightforward process but should be done with caution as it permanently removes the external role's record from the project. Follow the steps below to delete a external role:

  1. Navigate to the System settings page.
  2. Choose External Roles from the list.
  3. Locate the external role you wish to delete in the External Roles Table.
  4. Press the button in the Actions column, which will open a menu.
  5. Press the Delete option, which will open a confirmation pop-up.
  6. Press Yes, I'm sure to confirm the deletion or choose No, cancel to stop the external role from being deleted.
