Contact Log
Overview
The Contact Log section within a group allows administrators to maintain records of interactions. This ensures proper documentation and follow-up on all communications. Follow the steps below to add, edit, view, or delete contact log.
How to Add a Contact Log
- Navigate to the Contact Log section within a specific group in your Project.
- Press the Add contact log(s) button, which will open the Create Contact Log pop-up.
- Fill in the Contact Log Information:
- Date: Enter the date of the contact.
- Subject: Provide a brief subject or summary of the contact.
- Initiated By: Select who initiated the contact, whether that was an Organisation or Individual.
- Contact Method: Choose the method of contact (e.g., phone, email, meeting) from the dropdown.
- Contact Topic: Select the relevant topic from the dropdown list.
- Notes: Enter any additional notes or details about the contact.
- Press the Save button.
- A new contact log has been created and is now visible in the Contact Log Table.
How to Edit a Contact Log
- Navigate to the Contact Log section within a specific group in your Project.
- Locate the contact log you wish to edit in the Contact Log Table.
- Press the button in the Actions column, which will open a menu.
- Press the Edit option to open the Edit Contact Log pop-up.
- Update the contact log information as needed:
- Date: Modify the date of the contact.
- Subject: Update the subject or summary of the contact.
- Initiated By: Change whether the contact was initiated by an Organisation or Individual.
- Contact Method: Select a new method of contact if applicable.
- Contact Topic: Update the relevant topic(s) from the dropdown list.
- Notes: Modify any additional notes or details about the contact.
- Press the Save button to apply the changes.
How to View a Contact Log
- Navigate to the Contact Log section within a specific group in your Project.
- Locate the contact log you wish to view in the Contact Log Table.
- Press the button in the Actions column, which will open a menu.
- Press the Edit option to open the View Contact Log pop-up.
- Review the details of the contact log including notes as needed.
How to Delete a Contact Log
- Navigate to the Contact Log section within a specific group in your Project.
- Locate the contact log you wish to delete in the Contact Log Table.
- Press the button in the Actions column, which will open a menu.
- Press the Delete option, which will open a confirmation pop-up.
- Press Yes, I'm sure to confirm the deletion or choose No, cancel to stop the contact log from being deleted.
How to Search and Filter the Contact Log
To efficiently manage and locate specific contact log entries, use the search and filter functionalities provided on the Contact Log page:

Search Contact Log:
- Use the search bar at the top of the page to enter keywords related to the contact log you are looking for.

Filter by Topic:
- Press the Topic button to filter the contact log by specific topics. A list of available topics will appear, allowing you to select one or more to filter the log accordingly.

Navigate Through Pages:
- Use the pagination controls at the bottom of the table to navigate through different pages of contact log. Adjust the number of rows displayed per page using the dropdown menu.
Updating Contact Methods and Contact Topics
Contact methods and contact topics can be updated in the System Settings area. To update these options:
- Navigate to the System Settings page.
- Choose Contact Log Topics or Contact Methods from the options.
- Press the Add button to create a new method or topic, or select an existing one to edit.
- Fill in or update the necessary information and press the Save button.
By utilising these features, administrators can efficiently add, search, and manage contact log, ensuring a comprehensive record of all interactions.
